SPARTAN AWARDED CONTRACT FOR OCONEE PROBATE COURT CASE MANAGEMENT SYSTEM

Spartan announced today that Oconee County has accepted Spartan's proposal for a Probate Court Case Management System.  Oconee County selected Spartan as a direct result of their efficient, advanced solution for handling case types, integrated unlimited document generation and imaging. Additionally, Oconee was interested in the system capability of custom filings and document word merges for probate forms and documents.  Equally important to Oconee was the financial capability of the system.  The Probate Court Case Management System is slated for implementation in early July. 

Spartan Representatives attend 2010 NCJFCJ Conference

Eddie Pruitt, CEO, and Raymond Summey, Marketing Manager for Spartan Technology Solutions, Inc. attended the 2010 Winter National Council of Juvenile and Family Court Judges conference from the 14th of March through the 17th. The 2010 Winter Conference was held at Planet Hollywood in Las Vegas, Nevada with approximately 573 participants in attendance. The bustling nightlife of the venue mirrored the activity within the courts and legal community, as we are all busy completing our tasks with less and less resources. The conference focused on juvenile and family related training and exhibits. This was Spartan’s first time participating in this conference but it definitely will not be our last as we search for partnerships and additional resources to assist us with servicing our growing legal case management customer base. Spartan is currently implementing our Legal Case Management Solution in our first pilot site with plans to be implemented in each county by Fall of 2010. Spartan would like to thank all our new friends that took the time to come by our booth to visit. ALABAMA 5th Circuit Rollout

The 5th Judicial Circuit of Alabama successfully rolled out Spartan’s Prosecutor Court Case Management System (PCMS) in March, 2010.  The 5th Circuit was specifically interested in the criminal and civil processes, pre-trial intervention, restitution, bad check and inquiry by defendant attorney system.   Additional features of this court system that will benefit the 5th Circuit consist of auto-numbering for cases, charge codes to track charges through sentencing phases, a central person index that cross references case information, case number, defendant name, attorney name, etc. Other features this Court will be utilizing consist of word merge documents, ticklers that track case types and events and scanned images and documents flagged for discovery and email. Prior to implementation, the office was completely manual and has been fully automated by the Spartan Prosecutor Court Case Management System. 

Spartan completes statewide implementation of PCMS

When the South Carolina Fifth Judicial Circuit completed their implementation of the Spartan PCMS (Prosecution Case Management System), it marked a beginning of a new era for prosecution in the state of South Carolina. On February 15, each of the forty-six counties that make up the 16 Judicial Circuits of South Carolina began managing prosecution cases more effectively with the Spartan PCMS solution. Regardless of size or geographic locations, each Judicial Circuit has been empowered with the case management tools and resources to prosecute their respective cases in a more efficient manner for the people of the great state of South Carolina.

Spartan is proud to have collaborated with and served with Chief Justice Jean Toal and her staff at SCJD in accomplishing this outstanding project. Under the guidance of Spartan CEO Eddie Pruitt, the Spartan team members together with the project team members from across each corresponding judicial circuit have embraced the technology and proactive case management solutions provided by Spartan Technology Solutions Inc.

Each circuit was assigned a dedicated Spartan Project Manager who worked alongside the Circuit’s Project Manager to establish milestones, deliverables and goals throughout the implementation process from initial site visit, training and final go-live. Each Circuit presented their own challenges and unique circumstances and opportunities. Together Spartan and the Circuit staff were able to overcome any obstacle in implementing the finest case management solution available today.

Spartan would like to thank Chief Justice Toal for her leadership and foresight in recommending and championing this case management project; her team of Joan Assey and Scott Hayes were invaluable as they tirelessly worked with Spartan leadership in accomplishing this goal. Spartan would also like to recognize the leadership of each of the Sixteen Solicitors who supported the implementation within their respective circuits. This project accomplishes the goal of providing each judicial circuit in South Carolina with a powerful, robust, customizable solution for case management.

GREENVILLE COUNTY PROBATE COURT UPGRADED TO LATEST RELEASE

Greenville County has successfully implemented Spartan’s latest release to their Probate Court Case Management System.  This implementation provides the staff and Court with the capability of bar coding all court files.  Thus, allowing the court staff to locate any file within the court system.  Additionally, the Greenville County Probate Court upgraded to “batch imaging” that creates multi-purpose functioning by utilizing scanning and word merge features.  This feature provides for the document to remain in the original form, add a signed original and/or maintain each respective document.  Likewise, these two upgraded features will directly enhance the capability of the existing probate system, taking the Court to a whole new level in court management.  Spartan Technology, Inc., and the Greenville County Probate Court have partnered since 2007 and are equally committed to establishing the best probate court system in the State of South Carolina.  

South Carolina 5th Judicial Circuit

The Fifth Judicial Circuit of South Carolina has successfully implemented the Spartan PCMS (Prosecution Case Management System), solution in February 2010. With this implementation completed now all forty-six counties of South Carolina, from largest to smallest, are utilizing the exact same programs to prosecute cases within South Carolina. This project has allowed standards to be employed state wide while also offering each county the ability to customize their workflow for their specific work processes and procedures. The Fifth Judicial Circuit is comprised of two counties, Richland and Kershaw. With this implementation, each office has the ability to share data across the circuit to include case files, documents, pictures, videos, and other digital case items. Real-time access to data coupled with the implementation of Spartan workflow and case-tracks empowers each local office to more effectively manage their cases from initial input through final disposition. The savings in time and improved efficiencies have afforded the opportunity for improved services to the general public and internal customers. As one of the large circuits the training was accomplished over several weeks and the spin-up time for the staff to become proficient with the new solution was minimal with Spartan providing on-site training and post go-live support to ensure a successful implementation. Additionally the switch to a single server will enable the documents templates to be standardized throughout the circuit. 

Spartan Representatives Attend South Carolina Association of Probate Judges 2010 Legislative Conference

Raymond Summey, Marketing Manager and Terry L Frye, the Marketing and Sales Director for Spartan Technology Solutions, Inc. attended the South Carolina Association of Probate Judges Legislative Conference from February 16 to February 17, 2010. The event was hosted by the Association of South Carolina Judges. The conference was held at the Embassy Suites Hotel located in Columbia, South Carolina. Approximately 150 attendees from all forty-six Probate Offices across the state of South Carolina attended the conference. Spartan was one of five vendors supporting the conference and our customers. This conference was an excellent setting for Spartan to demonstrate our Probate application to the South Carolina Probate Judges. Additionally Spartan was able to discuss an interface option that is currently in the design phase. The interface will allow marriage license information to be transmitted to DHEC electronically eliminating paper transactions in this process. Spartan enjoyed participating in the 2010 South Carolina Probate Judges Conference hosted by the South Carolina Association of Probate Judges. SPARTAN Launches Five (5) County Pilot Sites for South Carolina Department of Social Services (SCDSS)

Spartan Technology Solutions is pleased to announce the accomplishment of the pilot site for our newest Health and Human Services customer, the South Carolina Department of Social Services (SCDSS). This agency selected Spartan to deploy a state-wide case management solution for each local office with the primary installation at the agency headquarters located in the state capital of Columbia, South Carolina. This implementation will equip each local office to have the necessary data and workflow processes to ensure the safety and health of children and adults who can not protect themselves. This solution will also deliver improved financial accountability and assistance tracking to those members of our society that rely on food assistance and temporary financial assistance while transitioning into employment. The pilot site encompasses a total of five geographically separated counties, (Aiken, Barnwell, Bamberg, Lancaster, and Greenwood). Throughout the pilot phase of the project Spartan staff has been on site at each location performing business process analysis, data verification, desktop deployment, training and go-live support. Upon the successful implementation of this five county pilot Spartan will be implementing the remaining counties based upon the SCDSS schedule. It is anticipated that each county will be utilizing the Spartan case management solution by the end of FY10.

Spartan Representative Attends 2010 ADAA Winter Conference

Terry L Frye, the Marketing and Sales Director for Spartan Technology Solutions, Inc. attended the Alabama District Attorney Association’s 2010 Winter Conference from January 20 to January 22, 2010. The event was hosted by the State of Alabama – Office of Prosecution Services. The 2010 Winter Conference was held at the Renaissance® Birmingham Ross Bridge Golf Resort & Spa located in Hoover, Alabama. This facility is famous for their spa, accommodations and views – not to mention their excellent golf course on the grounds. The Ross Bridge Golf course is a member of the famous Robert Trent Jones Golf Trail that stretches across the great state of Alabama. Approximately 207 participants attended the conference – several with clubs in tow. It was an excellent venue for Spartan to announce the partnership with the 5th Circuit of Alabama as our newest customer and our first from Alabama. Spartan is currently in the process of implementing this customer with the go-live implementation set for the spring of 2010. Spartan enjoyed participating in the 2010 ADAA Winter Conference hosted by the State of Alabama – Office of Prosecution Services. South Carolina 3rd Judicial Circuit

December 2009

The 3rd Judicial Circuit of South Carolina implemented the Spartan CMS suite of case management solutions this December 2009. This implementation has empowered each of the four counties, (Clarendon, Lee, Sumter, and Williamsburg), to have the ability to manage and process all their cases and corresponding documents locally. Per Jack Greenan the 3rd Judicial Circuit Administrator this one aspect of the Spartan solution has made a significant impact on the effectiveness of his staff. The most profound impact has been the ability to produce indictments locally as their legacy system required all indictments to be produced at the main office in Sumter County. Each office now has the ability to share data across the circuit to include case files, documents, pictures, videos, and other digital case items. Per Jack Greenan the activities have given the ability jack the training and after the sale discussions and activities. The spin-up time for his staff was minimal with Spartan providing on-site training and post go-live support to ensure a successful implementation. Additionally the switch to a single server allowed all documents and templates to be standardized throughout the circuit. 

South Carolina 6th Judicial Circuit

December 2009

The 6th Judicial Circuit of South Carolina successfully implemented the Spartan CMS suite of case management solutions this December 2009. This project allowed all three counties, (Chester, Fairfield and Lancaster), to manage caseloads for adult, juvenile, and pretrial intervention on a single server. An integral piece of the project was the conversion of all the data from each county. This data was placed onto a central server for shared access and disaster recovery. This allowed for a seamless transition from their legacy systems to a unified PCMS (Prosecution Case Management System). Solicitor Doug Barfield was pleased with the commitment and ability of the Spartan staff in converting all the existing data from the three counties. During the project an arsonist attempted to burn the data within the Solicitor’s Office but the Spartan staff had the data restored the following day with the backups made previously. Disaster recovery, data sharing and interoffice collaboration throughout the circuit has allowed the 6th circuit staff to be more responsive to citizen inquiries while empowering each office to manage their docket and cases more effectively. Within the next year the three county clerk’s offices will be interfaced with this new system allowing data to be uploaded – this process will eliminate data entry errors and data delay between the two divisions. 

South Carolina 4th Judicial Circuit

May 2009

The 4th Judicial Circuit of South Carolina implemented the Spartan CMS suite of case management solutions this May 2009 with all four counties managing caseloads for adult, juvenile, and pretrial intervention on a single server. This was a departure from their legacy case management solution which operated independently within each county on separate servers with no data sharing, cross referencing of defendants or other interested parties. Per Solicitor Will Rogers the Spartan PCMS (Prosecution Case Management System), has empowered his staff with the ability to manage their cases more productively with data sharing with his geographically separated offices. The spin-up time for his staff was minimal with Spartan providing on-site training and post go-live support to ensure a successful implementation. Additionally the switch to a single server allowed all documents and templates to be standardized throughout the circuit. With this investment in technology his staff was able to provide the citizens of Chesterfield, Darlington, Dillon and Marlboro counties with the same level of service and case management they would expect to receive in much more economically diverse areas of the state.

2009 Spartan Customer Conference

Over two hundred Spartan customers from all 46 counties of South Carolina converged in Columbia, South Carolina to attend the 2009 Spartan Customer Conference on May 4-5, 2009. The conference held at the beautiful “Inn of USC”, http://www.innatusc.com/, was a huge success as each attendee was able to choose the best classroom training for their particular interest. The Inn at USC is located on the University of South Carolina campus across the street from the National Advocacy Center. The conference was dynamic with specific training and facilitated discussions throughout the event with many discussions lasting to late in the evening. The agenda and training topics were created utilizing the completed customer surveys and included such items as Paperless Office, Security 101, Word Merge, Charge Progression, and Spartan Panel Discussions. This allowed the conference to maintain focus on meeting the customer’s needs and requirements rather than just covering material generically. In addition to receiving a working manual for their classes along with a CD containing the complete set of customer manuals and the training material, each customer had the opportunity to address their particular question directly the CEO who attended the event as well. The training sessions were offered in four distinct tracks, (New-User, Juvenile, Adult, and PTI) over both days. “The new-user training was exactly what was needed”, said Barbara O’Grady a new employee in the Ninth Judicial Circuit located in Charleston, South Carolina. Each presentation concluded with informal classroom discussion and practical reinforcement demonstrations. Additionally the customers were allowed to vote on the priority of enhancement requests received and help offer guidance to the future of the Spartan Case Management Solution. Next year’s event will be a similar format.
